1. Controller and contact details
OptomBot is operated by LALE PARFUM LLC. Legal details are published on the legal information page. Privacy and data deletion requests can be sent to info@lale-parfum.ru.
2. Data we process
Depending on the features you use, OptomBot may process your account identifiers, contact details, organization records, publications, files, messages, proposals, transactions, technical logs, and settings.
3. Public information
Active tenders, offers, and cargo publications may be publicly accessible, indexed by search engines, and available through direct links. Users must publish only information they are entitled to disclose.
4. Google Workspace data
When you connect Gmail, OptomBot may access and process:
- your Google account email address and account identifier;
- Gmail message and thread identifiers, headers, labels, sender and recipient addresses;
- message bodies and supported attachments only when they are matched to Mail Robot business conversations;
- structured proposal data, conversation state, and draft replies derived from those messages;
- OAuth access and refresh tokens required to keep the connection working.
OptomBot requests https://www.googleapis.com/auth/gmail.modify so it can send user-authorized messages, locate replies, and apply the dedicated OptomBot labels. Gmail does not provide a narrower scope that supports this complete workflow.
5. How Gmail data is used
Gmail data is used to connect the mailbox selected by the user, send individual business requests initiated by the user, identify replies related to those requests, organize them with OptomBot labels, display conversations, extract proposal fields, and prepare replies under the Mail Robot rules.
OptomBot does not read unrelated mailbox content for product analytics or advertising and does not use Gmail data to build marketing profiles.
6. AI processing and service providers
For features that require classification, structured extraction, attachment analysis, or reply drafting, matched conversation content and supported attachments may be sent through the Timeweb AI Gateway to the selected AI model. Only data needed for the requested Mail Robot operation is transferred. OptomBot does not use Google Workspace data to train general-purpose AI models.
Infrastructure and AI providers process data only to deliver the requested service under their applicable security and data-processing terms.
7. Storage and security
OAuth tokens are encrypted at rest. Data is transmitted over HTTPS, access is limited by account and organization permissions, and security-relevant actions are logged. Business conversations and proposal evidence may be retained so users can review decisions and continue working with counterparties.
8. Google API Services User Data Policy
OptomBot’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Human access to Google user data is limited to cases where the user explicitly requests support and consents to access, where access is necessary to investigate abuse or a security incident, or where it is required by applicable law.
9. Control, disconnection, and deletion
You can disconnect Gmail in the Mail Robot settings. This revokes the connection and stops further mailbox access. Previously created business conversations, proposals, and audit evidence are not automatically deleted when a mailbox is disconnected.
To request access, correction, or deletion of stored data, email info@lale-parfum.ru. We will delete or anonymize data unless retention is required for security, accounting, legal obligations, or the protection of legitimate claims.
10. Changes
We may update this policy when the service, providers, or legal requirements change. The current version and its effective date are always published on this page.
